STUDIO POLICIES & PROCEDURES
By purchasing a membership, package, drop-in, or any group class–related offering at Ascension Pilates & Wellness, you agree to the following Terms and Conditions:
Effective Date: January 1, 2026
1. General Terms
- These Terms apply to all group class offerings, including memberships, packages, subscriptions, and drop-ins purchased through our studio, website, or authorized platforms.
- Ascension Pilates & Wellness reserves the right to adjust class schedules, instructors, pricing, policies, and offerings as needed to support studio growth and client experience.
2. Package, Membership & Booking Policies
- All packages, memberships, subscriptions, and drop-in options are valid for group classes only.
- Clients are limited to booking one (1) group class per day, regardless of membership or package type.
- This policy exists out of respect for our intimate class sizes and to ensure fair access for all clients.
- No exceptions will be made unless approved directly by the studio owner.
- Bookings are non-transferable, however credits may be shared with a linked family member account when applicable.
- Bookings may only be used by the purchasing client or an approved linked family member.
3. Payment & Billing
- Full payment for packages and drop-ins is required at the time of purchase.
- All subscription and membership clients are required to have a valid card on file for auto-renewal and billing purposes.
- Package holders are not required to keep a card on file; however, doing so may simplify future purchases.
- Failed or declined payments must be resolved within 5 business days or access may be suspended.
4. Pricing, Subscriptions & Studio Growth
- Pricing is subject to change based on studio demand, growth, and expansion, including the addition of new class formats, instructors, and equipment.
- Existing subscriptions will continue to auto-renew at their current rate with limited booking availability for current class formats, including but not limited to Sculpt, Yoga, and Core Flow.
- Any additions to these formats, or the introduction of new offerings, may require a
membership upgrade or additional fee, even for active members.
5. Expiration & Rollover
- Packages typically expire within 60–90 days from the date of the first class scheduled, unless otherwise stated at time of purchase.
- Single drop-in classes expire 30 days from purchase.
- Unused classes do not roll over past their expiration date.
- Membership credits must be used within each billing cycle and do not roll over.
6. Attendance
- Group classes must be canceled at least 12 hours in advance.
- Credit holders who late cancel or no-show will forfeit the class credit.
- Unlimited members will be charged a $10 late cancellation or no-show fee.
- Repeated no-shows may result in termination of membership at the studio’s discretion.
- Late arrivals (more than 5 minutes after class begins) will not be permitted to enter class and will forfeit the class credit. Please plan to arrive at least 10 minutes early to allow time to settle in.
- Leaving early? Kindly notify your instructor before class begins and exit prior to our final cool-down stretch.
- Waitlist Update for 2026:
- Waitlists will increase to three (3) spots to support demand.
- All waitlisted clients will be notified via email when a spot becomes available.
- Spots are filled on a first-come, first-serve basis based on who confirms first.
- If you can no longer attend a class, please cancel promptly to allow space for others.
7. Instructor Substitutions & Schedule Updates
- Instructor substitutions may occur and do not constitute grounds for refunds.
- Studio closures, holiday schedules, and major changes will always be communicated in advance whenever possible.
8. Refunds & Transfers
- All sales are final.
- Packages, memberships, and subscriptions are non-refundable.
- Medical exceptions may be considered with proper documentation at the discretion of Ascension Pilates & Wellness.
9. Membership Cancellations & Holds
- Memberships require a minimum 3-month commitment.
- After completing the minimum term, cancellation requires 30 days’ written notice and must be submitted through the client’s personal dashboard.
- Members may request up to two (2) holds per year, each lasting a minimum of 10 days and a maximum of 30 days.
- Medical holds with doctor documentation are excluded from this limit.
- Hold requests must be submitted via email (info@ascensionpilates.com) and approved by management.
10. Annual & Founding Memberships
- Annual and founding memberships will no longer be offered beginning in 2026.
- Current annual members may complete their membership through the end of their existing term.
- Upon expiration, clients will transition to available monthly membership or package options at public pricing.
11. Studio Etiquette
- Ascension Pilates & Wellness is a shared space rooted in respect, mindfulness, and community.
- Cell phone use, texting, or smartwatch use during class is not permitted.
- If an urgent call requires attention, please step outside the studio.
- For emergencies, notify your instructor prior to class for approval to bring a phone inside.
- Shoes and personal belongings are not permitted in the studio room. Please store all items in the cubbies provided.
- While the space is monitored by a security camera, we recommend leaving valuables in your vehicle.
12. Client Communication
- Respectful communication is expected toward instructors, staff, and fellow clients at all times.
- All questions or concerns regarding classes, credits, billing, memberships, or policies must be directed to info@ascensionpilates.com.
- Please do not address these matters during class time or with other clients.
- Our standard response time is within 48 business hours.
13. Community Standards & Disciplinary Policy
- Gossip, complaints, or disruptive behavior that negatively impacts the studio environment is not aligned with our values.
- Reports or concerns raised by instructors or fellow studio members regarding a client’s behavior are subject to review under this policy.
- The following process will be followed:
- First occurrence: verbal warning
- Second occurrence: verbal and written warning
- Third occurrence: termination of the client relationship
- Termination due to conduct violations may occur without refund.
- Our studio is a space for growth, support, and positive energy. Behavior that interferes with this experience will not be tolerated.
14. Changes to Terms
Ascension Pilates & Wellness reserves the right to update these Terms and Conditions at any time. Clients will be notified of material changes via email or studio notice.
